Refund &
Cancellation Policy

Effective September 23, 2026

Questions about your booking?

At a glance

  • For a change of plans, deposits are normally non-refundable, subject to the fair-charge limits below.
  • Cancel at least three calendar months before the program starts: receive at least a 50% refund of payments made excluding the deposit.
  • Cancel less than three calendar months before the program starts: normally no refund, subject to the fair-charge limits below.
  • Alternatively, transfer your booking credit to a future program starting within one year of the original start date, with a transfer fee of up to 10%.

These change-of-plans terms do not restrict statutory withdrawal rights, refunds when we cancel, or remedies for services that are not delivered as agreed.

1. Scope

This policy applies when you cancel a program booking with House of Imaginalia, operated by Imaginalia LLC. It applies to bookings made from the effective date above where provided before you book. Existing bookings retain their agreed terms and all mandatory rights. Program-specific terms must be disclosed before booking and cannot remove mandatory consumer protections. Changes to this page do not retrospectively reduce your rights.

2. Deposits

Your deposit reserves your place. For a voluntary cancellation outside any applicable cooling-off period, it is normally non-refundable, but only within the fair-charge limits in section 3. The deposit amount must be specified before payment. It is excluded from the standard refund calculation below, but may be included in a transfer to a future program.

3. Cancellation & refunds

If you notify us at least three calendar months before the program start date, the standard refund is 50% of the amount you have paid beyond the deposit. After that deadline, the standard refund is zero. These are minimum refunds, not automatic entitlements for us to retain the balance: we will assess the fair-charge limit below and refund more where required.

For example, if you paid $2,500 including a $500 deposit, an eligible cancellation would receive at least a $1,000 refund: 50% of the remaining $2,000.

Fair-charge limit: the total we retain, including the deposit, will not exceed a reasonable, evidenced loss directly caused by your cancellation. We will deduct costs saved and income from reselling your place, take reasonable steps to reduce our loss, and refund any excess. We will provide an explanation of the calculation on request. We do not charge a penalty for cancelling.

The deadline is the corresponding date three calendar months before the start date, or the last day of that month if there is no corresponding date. For a program starting October 15, the refund deadline is July 15, inclusive.

4. Transfer to a future program

Instead of a refund, you may use the amount paid for your booking, including the deposit, as credit toward a future program. This option is also available within the three-month period when refunds are no longer offered.

The future program must start within one year of your original program’s start date. The transfer fee is the lower of 10% of the amount transferred and our reasonable administration costs for the transfer. We will confirm the fee before you accept; it is deducted from your credit. For example, a $2,500 transfer with a $250 fee gives you $2,250 in credit.

Transfers are subject to available places. Any additional cost of the future program must be paid. If it costs less, the unused credit remains available until the original one-year expiry date, subject to any longer validity required by law. If we cannot offer a place on any program within the validity period, we will offer an extension or a refund of the unused transferred amount, including the associated transfer fee. Amounts already refunded cannot also be transferred. Choosing credit is optional: we will not require you to accept it instead of a refund you are entitled to receive.

5. Cooling-off rights

EU/EEA and UK consumers who book qualifying services online, by phone or away from our business premises generally have 14 days after the contract is concluded to cancel without giving a reason. Any longer statutory period, including an extension for missing withdrawal information, remains available. During a valid statutory withdrawal, the deposit and cancellation charges above do not apply.

A date on a training course does not by itself remove this right. A legal exception, such as qualifying leisure services on specified dates, applies only if the booking actually meets the relevant legal conditions. Any applicable exception will be identified in the information given before booking.

If you expressly request that services begin during the cooling-off period, we may deduct only a proportionate amount for services actually supplied before withdrawal, and only if all legally required information and consent conditions are met. For a service, the right is lost on full performance only where the required prior express consent and acknowledgment were obtained. For digital content, starting access alone does not waive your rights: any loss of withdrawal rights requires the separate consent, acknowledgment and confirmation required by law.

6. Send a cancellation or transfer request

Email hello@houseofimaginalia.com, call +1 307 500 4505, or write to Imaginalia LLC, 30 N Gould St, Suite 67541, Sheridan, WY 82801, United States (mailing address).

Tell us clearly that you wish to cancel or request a transfer, and include enough information to identify your booking. Your name, program and booking date are helpful; a booking reference is not required. You do not need to give a reason for statutory withdrawal or use a particular form. Sending notice before the applicable deadline is sufficient; our acknowledgment is not a condition of a valid cancellation. Keep a copy or proof of sending.

Optional cancellation form — copy into an email or letter:

To: Imaginalia LLC, at the email or mailing address above.
I/We hereby give notice that I/We cancel my/our contract for the following service: [program].
Ordered on: [date].
Name of consumer(s): [name].
Address of consumer(s): [address].
Date: [date].
Signature of consumer(s): [only if sent on paper].
Delete whichever of “I/We” and “my/our” does not apply.

7. If we cancel or change a program

If we cancel a program before it starts, you may choose a full refund of all program payments, including the deposit, or voluntarily accept an alternative. No cancellation or transfer fee applies.

If we postpone a program or materially change its dates, location, delivery format or essential content before it starts, we will explain the change and offer you the choice of accepting it or cancelling for a full refund. If delivery stops after a program begins, we will refund the undelivered portion and provide any additional remedy required by law.

8. Refund timing & method

For a valid statutory withdrawal, we will issue reimbursement without undue delay and no later than 14 days after you inform us. Other refunds due under this policy will be issued within 14 days of the cancellation or your choice of a refund following our material change. Any shorter mandatory deadline takes precedence.

We use the original payment method unless you expressly agree to another method that costs you nothing. We do not deduct a refund-processing fee. Your bank or payment provider may take additional time to show the payment in your account.

9. Service problems & complaints

If a service is not supplied as agreed, contact us using the details above. Your legal remedies may include correction, repeat performance, a price reduction, cancellation, a refund or compensation. The change-of-plans deadlines and charges do not limit these rights, including applicable Australian consumer guarantees.

We aim to acknowledge complaints within five business days and provide a substantive response within 14 days. This process does not delay a refund deadline or prevent you from contacting a consumer authority, using an available dispute-resolution process or pursuing other legal remedies.

10. Mandatory protections

Mandatory consumer protections in your country of residence continue to apply where the law requires, regardless of our US incorporation or any governing-law clause. Neither this policy nor a separate booking agreement excludes those rights. If a booking legally constitutes a package travel arrangement, the applicable package-travel cancellation and refund rules take precedence over these standard terms.
